Moving off shared drives and cloud storage.

Storage holds files. Client work needs more: documents requested and received, files discussed and approved, passwords sent safely, agreements signed, and a record of it all.

Storage isn't a client workflow.

A shared drive is a fine place to keep your own files. It gets awkward the moment a client is involved, because the client has to fit into a system built for your team.

  • Clients need an account, or a link that never expiresSo either the client signs up for something, or a folder link floats around with no end date.
  • Uploads land anywhereA shared "Upload here" folder fills with files named scan001.pdf, and nobody knows what's still missing.
  • The conversation lives somewhere elseFiles in the drive, questions in email, the decision in a chat thread.
  • Passwords and signatures need other toolsSo client work is spread across three or four apps, each with its own login.

Many teams keep their internal storage and move the client-facing work. Here's the difference.

What you needShared drive or cloud storageMyDocUploads
Client accessOften an account, or an open folder linkLinks with optional password, expiry and use limit. No client account.
Getting documents inA shared upload folderA file request per job, with allowed file types and an expiry date. Uploads are scanned for malware.
Discussing and approvingComments in another app or emailConversations on the file, and Mark Approved, recorded with who and when.
Passwords and codesA separate tool, or emailSecure Drop, unlimited on every plan.
Intake questionsA separate form toolFlow forms from templates, with upload questions. Answers stay in the client's workspace.
SignaturesA separate e-signature toolSign, built in. The signed copy comes back to the same workspace.
Who did whatVaries by productAn activity record in every client workspace.
Finished clientsFolders linger foreverArchive the workspace. Files stay viewable, and it stops counting toward your plan.

What to move, and in what order.

Active clients only

Create a workspace for each client you're working with now. Leave finished work where it is.

A simple folder plan

Use the same few folders for every client, such as Onboarding, Agreements, Ongoing work and Internal notes. Internal notes stay private to your team.

Only the files in play

Upload the documents you'll need in the next month. Everything else can move when it's needed.

Send the next request from MyDocUploads

The next time you need something from the client, send a file request instead of a folder link.

Close out old links

As clients move, turn off the old shared folder links so documents live in one place.

Questions about moving off a shared drive.

Do we have to replace our shared drive?

No. Many teams keep their internal storage and use MyDocUploads for everything that involves a client: requests, sharing, approvals, passwords, forms and signatures.

Do clients need an account?

No. Clients work through links and never use a seat. Seats are only for your own team.

Can clients edit files?

You choose per link: view only, view and download, or edit. Word, Excel and PowerPoint files can be edited in the browser, and each save is a new version.

Where is our data stored?

MyDocUploads runs on Amazon Web Services (AWS) in the United States. Data is encrypted in transit and at rest.

How is pricing different from storage pricing?

You pay for your team's seats and client workspaces, not for each client who opens a link. Every plan includes every module. See pricing.

Move your active clients first.

Every module on every plan. Your clients never need an account.
