Moving off email attachments.

Email was built for messages, not for your clients' documents. Here's what it costs you, what changes when you move, and how to move one client this week.

What email costs you.

Nobody chose email as their client document system. It just happened, one attachment at a time. The costs show up later, usually when someone asks "which version did they approve?"

  • Files scattered across inboxesThe signed copy is in one person's sent folder, the latest draft in another's, and the client forwarded it to their personal account.
  • Passwords that never go awayAn admin login sent by email sits in two inboxes, and every backup of them, for years.
  • Approvals buried in reply-all"Looks good" in a thread of 30 messages is hard to find, and harder to tie to the right version.
  • Chasing the last two documentsYou ask, they send three of five, and someone keeps a list in their head of what's still missing.
  • No record of who did whatWhen a client or an auditor asks who saw a file and when, email can't answer.

What changes when you move.

Each job that email does badly gets a tool built for it, and they all live in one secure workspace per client.

Get documents from a clientAttachments in replies, often the wrong file or yearOne file request link. Files land in the client's workspace and are scanned for malware.
Agree on a documentReply-all threads, "see my comments in red"Conversations on the file itself, then Mark Approved. The approval is recorded with who and when.
Send a password or codeSits in inboxes indefinitelySecure Drop: an encrypted message that disappears after it's read, or expires.
Ask intake questionsA long email the client half answersA Flow form from a template, with file upload questions. Answers land in the workspace.
Get a signaturePrint, sign, scan, email backSign: place fields on the PDF and send it. The signed copy comes back with its signing record.
Find it six months laterSearch five inboxesOpen the client's workspace. Every file, approval and signature is there, with an activity record.

Move one client this week.

Don't switch everyone at once. Pick one active client with documents due, and run their next round of work through MyDocUploads.

Create the client's workspace

One workspace per client. Invite the colleagues who work on that account.

Send one file request

List what you need, set an expiry date and a password. The client gets one link and never creates an account.

Move the next approval onto the file

Instead of emailing a draft, share it and discuss it in Conversations. Mark it approved when it's agreed.

Send the next password by Secure Drop

Logins, Wi-Fi keys, account numbers. Send the password for the link by phone.

Send the agreement for signature

Upload the PDF, place the fields and send it. The signed copy comes back to the workspace.

What to tell your clients.

Clients like it when it's explained once, simply. Copy this into your next email and change the names.

Hi Alicia, To keep your documents safer, we're moving our file sharing off email. From now on, when we need something from you, you'll get a secure link from MyDocUploads. Just open it and upload. There's no account to create, and it works on your phone. Passwords and other sensitive details will come as a one-time secure message, and we'll give you any PIN by phone. Thanks, Maria

Questions about moving off email.

Do my clients need an account?

No. Clients use links: file requests to upload, share links to view, Secure Drop to receive a password and signing links to sign. They never create an account and never use a seat.

Can we still email clients?

Yes. Most teams keep using email to say "it's ready" or "we need something", and send the link. The document itself stays in the client's workspace instead of in the email.

Do we have to move all our old emails?

No. Start with active clients and new work. Old emails stay where they are. Move a file into a workspace when you need it again.

Can clients upload from their phone?

Yes. File request links work in a phone's browser, and clients can take a photo or choose files.

How is this safer than emailing a password-protected PDF?

The file never sits in an inbox. You control the link with an expiry date, a password and a use limit, files coming in are scanned for malware, and every action is kept in the workspace's activity record.

How much does it cost?

Every plan includes every module, and clients are always free. See pricing. Every plan starts with a 14-day free trial.

Start with one client.

Every module on every plan. Your clients never need an account.
