Roles and permissions explained

What admins and members can do in a workspace, and what each permission allows.

Updated November 7, 2026

Each person on your team has a role in each workspace they can use. You set roles when you invite someone, and you can change them later.

The two roles

  • Admin has full access to everything in that workspace.
  • Member gets only the permissions you tick.

Member permissions

  • View: open and view files.
  • Create / upload: add files and folders.
  • Edit: change files, including editing Word, Excel and PowerPoint files in the browser.
  • Delete: delete files and folders.
  • Share: create share links and share with people.
  • Comment & chat: take part in conversations on files.
  • Signatures: send documents for signature.

Menus show or hide by each person's permissions. For example, a member without the Signatures permission won't see the option to send a document for signature.

Roles are set per workspace

Someone can be an admin in one client's workspace and a member, or have no access, in another.

Common questions

Who can mark a file approved?

Today, workspace admins can mark a file approved or request changes.

Do clients have roles?

Clients don't need an account or a seat. They work through links: share links, file requests, Secure Drop and signing links.
